We are looking for someone who is interested in assisting our colleagues and visitors as needed while managing our front desk functions.
The ideal candidate should have strong administrative, planning, and organizational skills, as well as have the ability to work efficiently and accurately with minimal supervision.
This person will need to be detail-oriented with exceptional communication and follow-up skills and excel at prioritizing multiple activities.
Position Responsibilities Include but not limited to the following:
Greet visitors and handle all calls to the office.
Receive incoming and outgoing mail and deliveries, sorting, affixing postage, and routing mail.
Processing mail to ensure pick up and delivery are accomplished on time.
Maintain kitchen and office supplies working with vendors to ensure stock is up to date, handle departments requesting supplies and tracking expenses.
Administer typing assessments to applicants.
Assist with travel arrangements for traveling employees.
Assist with companywide activities as needed.
Communicate effectively with colleagues and managers.
Coordinate the use of conference rooms.
Perform other related duties as requested.
Assist other departments with data tracking functions (using proprietary websites).
Position Qualifications 1-2 years of previous administrative/secretarial experience preferred.
Excellent phone skills required.
Strong technical computer aptitude and knowledge of business tools (e.
g.
, Microsoft Office, Word, Excel, PowerPoint) or ability to learn quickly.
Ability to handle multiple tasks and maintain a high quality, accuracy of work while experiencing frequent interruptions.
Ability to demonstrate solid organizational skills to maintain a clear, concise record of ongoing projects and daily tasks.
Ability to maintain integrity in handling confidential information.
